New jobs are created through Job Manager's Job Entry & Edit window. While the window allows you to enter a variety of job related information, the only required information for adding a new job is the job number, name, and customer. This allows you to create new jobs quickly while permitting you to enter the detailed information at a later time.
Note: If auto-numbering is enabled, the text "<auto>" will appear in the Number field. To let Job Manager assign the next available job number, do not replace this text with a number. The job number will be assigned to the job when it is added to the database. If the "Allow Overrides" setting for auto-numbering is enabled, the user may replace the text "<auto>" with a specific job number.
- Select the appropriate customer by clicking the Customer Search tool (
) and selecting a Customer from the popup window. This will assign the customer to the job that you are creating. When a customer is selected, the CSR, sales rep, bill to and ship to fields will be automatically set based on the information saved for that customer. Each of these can be changed for an individual job.
- Select the appropriate workflow by clicking the Workflow Search tool (
) and selecting a workflow from the Workflow popup. Jobs can take on automatic workflows (Automatic), no workflow at all (No Workflow), or a workflow template that is created by the Administrator. Selecting No Workflow will disable the job status features of Job Manager for this specific job.
Note: Workflows can be assigned or changed for an individual job as long as there are no job charges applied to the job. Once job charges have been applied to the job, the workflow cannot be edited for the Job.
- Select the Order Items or Production Charges billing type from the Billing Type popup, based on how you want Job Manager to create the initial invoice for the job. For more information on billing types, please refer to the "Job Billing Types" section above.
- Type the rest of the job information needed in the appropriate fields. Additional information could include a billing note, job description, shipping method, quote amount, customer purchase order number and amount, freight amount, and/or the due date and due time.
- Click Add (
). This will save the new job to the database and make it available for use throughout the rest of the Job Manager system.
At this point, a Job has been created within the Job Manager application. The Job's information can be viewed, edited, printed, or deleted directly from the Job's details page.
NOTE: Jobs can be deleted from the Job's details page only if there are no job charges applied to the job. Once job charges have been applied to the job, it cannot be deleted.
Note: If any invoice is issued for the job, the job cannot be deleted. Jobs that are marked as "Billed" (that have a complete invoice issued) cannot be modified (edited or deleted).
A Job's details page allows you to see billed amounts of the order items. The order items that have been invoiced for some amount are shown in blue and can be edited, but cannot be deleted. The column "Invoiced" contains the billed amount for each order item invoiced.
