Understanding the DSM Find Window

The DSM Find window is a powerful tool likely to be used frequently by all DSM users. This section describes the features of the DSM Find window in detail.

Find

Selects the Form the Find will be based on.

Form Identification

Displays the form on which the Find is based. This is selected by pressing the Find button.

Find Modes

There are three types of Find Modes available that allow you to control what information is displayed when the Find window is opened. By clicking on the Find Modes button you can select the mode you wish to use.

The Find Mode button does not appear on Global Finds. It only appears when users and administrators create new or modify existing searches.

 

Design Mode

This mode is generally used during the creation of a Find. When this mode is used, each search criterion is displayed with a corresponding checkbox at the right. When the checkbox is selected, the corresponding search criterion will not be displayed when the

Find window is opened in runtime mode. When the check box is clear, the corresponding Find criterion will be displayed when the Find window is opened in runtime mode. Regardless of whether search criteria are visible or not, they are always used when conducting a Find.

 

Normal Mode

This mode displays the Find window with all search criteria visible, but does not show the Display Criteria Checkboxes. Since the search criteria are visible, users will be able to edit all search criteria when the Find is opened.

 

Runtime Mode

This mode displays only the search criteria with unchecked Display Criteria Checkboxes. Each search criterion that remains unchecked (i.e. visible to a user) may be edited by the user when the Find is opened. If all search criteria have been checked (i.e. made invisible to the user), the Find will automatically run when it is opened.

Save

Opens the Save Find window for saving the Find, naming it, and assigning shortcut keys to quickly open it.

Search

Conducts the Find based on the defined search condition.

Open/Close Search Condition

Opens and closes the search condition editor, revealing (and hiding) the criteria.

Add Criterion

Adds another row to the bottom of the criteria list. Up to eight criteria can be used in each Find.

Remove Criteria

Removes the last criterion in the condition. At least one criterion must be used for Finds.

And/Or Boolean Operators

Each criteria after the first one is preceded by either an “and” or an “or” boolean operator. These are used to define the logic when multiple criteria are defined for the Find condition.

“and” Boolean Operator

Criteria separated by an “and” boolean operator mean that all criteria separated by “and” must match.

“or” Boolean Operator

Criteria separated by an “or” boolean operator mean that any of the criteria must match.

Mixed Boolean Operators

Criteria that are separated by a mix of “and” and “or” boolean operators are interpreted so that criteria separated by an “and” take priority over criteria separated by an “or”. As such, the condition in the example in the screen capture will be evaluated as:

(Criterion 1 and Criterion 2) or (Criterion 3 and Criterion 4).

Criteria List

List of all the criteria defined for the Find condition. Each criteria will be displayed based on the Find Mode selected (Design, Normal, or Runtime).

Search conditions contain the actual logic used to conduct the Find.

Display Criteria Checkboxes

These checkboxes are used to hide search criteria. The checkboxes are only visible when a Find window is viewed in Design Mode.

Typically, criteria are hidden and the Find saved in Runtime mode so that it will automatically execute when the Find is opened.

When selected, these checkboxes hide the corresponding Find criteria when the Find is opened in either Runtime or Normal modes.

Reference Conditions

Used for defining reference criteria for the find (All/Roots is / is NOT referenced by, ).

Digital Resources

Displays the results of the Find in Thumbnail view. This is the mode used for this screen capture.

Documents

Displays the results in Form and List Views.

Context Menu

Opens the Context Menu.

View Menu

Opens the View Menu.

Archive

Archives the files and folders corresponding to the selected digital resources. See Archive Options window for more information.

Retrieve

Retrieves the files and folders corresponding to the selected digital resources. See Retrieval Options window for more information.

Move

Moves the files and folders corresponding to the selected digital resources. See Moving Files and Folders for more information.

Edit

Opens the selected digital resource for editing. (Only available when results are displayed in Form View)

Delete

Deletes the selected digital resource(s). The files and folders associated with the digital resource are not deleted from the file system.

Display Area

Find results are displayed in this area.
