Configuring the Digital Resources Deleter
The Digital Resources Deleter is the part of the File System Service that recognizes the deletion of digital resources from the file server(s) and removes the corresponding digital resource records from the DSM database. The deleter options are set in two steps: while configuring deleter options for a particular database and while setting general parameters for a particular production folder attached to this database.
The deleter options set on the database level are propagated to all production folders: even if set enabled for a folder, the Digital Resources Deleter would not perform any deletions of the digital resource records as long as configured “Disabled” for the database.
To set Deleter options for a DSM database:
- Open the Properties window associated with the database you would like to configure by expanding the FSS snap-in in the tree portion of the Management Console, right-clicking the database name and selecting Properties from the popup menu; or selecting the desired database and clicking the Properties button
on the tool bar.
- Click the Deleter folder tab to start specifying options for the Digital Resources Deleter.
- Select/clear the Enable Digital Resources Deleter check box to enable/disable the Digital Resources Deleter for the database. If the checkbox is cleared, no file server deletion events will be recognized by the File System Service for the database and the corresponding digital resource records will not be removed from the database. The checkbox is selected by default.
- If the Digital Resource Deleter is enabled, select/clear the Remove references from file collectors checkbox to enable/disable removing references to digital resources from file collector fields when the corresponding digital resources are deleted from the file server. If the checkbox is selected, these references will be deleted by the Digital Resources Deleter.
- If the Digital Resource Deleter is enabled, specify the length of the delete delay period (in hours, minutes, and seconds) to determine the amount of time that the DSM database waits before deleting a digital resource record that has been reported as deleted from the file server by the File System Service.
Important! The delete delay guards against accidental deletion of digital resource records. For example, when a Microsoft Word document is saved, the new version of the file is written to a temporary file, the original file is deleted, then the temporary file is saved under the name of the original file; the delete delay ensures that the corresponding digital resource record will not be deleted from and then subsequently re-added to the DSM database (which would result in the loss of digital resource information, such as keywords, etc., entered in the DSM system).
- Click OK. This will save the modifications you have made to the database properties and close the database’s Properties window.
At the folder level, the Digital Resource Deleter may be enabled/disabled only for the folders contained in the Production Folders group. If excluded from scanning (disabled), a production folder must be enabled prior to configuring its Digital Resource Deleter setting.
To enable/disable the Digital Resources Deleter for a production folder:
- Open the Properties window associated with the folder for which you would like to enable/disable the deleter. To open the window, expand the File System Service:Databases:Production Folders subtree, right-click the desired folder in the right portion of the MetaCommunications Management Console and select Properties from the popup menu; or select the folder and click the Properties button
on the tool bar.
Note: You may also enable/disable the Digital Resources Deleter for a production folder while adding it to the database’s list of synchronized folders (refer to “Specifying the List of Synchronized Folders” in the “Managing the FSS Folder List for an Attached Database” section).
- Under the Parameters tab, select/clear the Delete digital resources from database for this folder check box. Leaving this check box cleared will disable the Digital Resource Deleter for the folder.
- Click OK. This will save the modifications you have made to the folder properties and close the folder’s Properties window.
