Trafficking Approval Processes

As a Manager, it is your responsibility to "traffic" your approval processes. You can do this in two ways:

  • Pre-emptively, by setting auto-routing rules for each stage when you define the proof workflow (or modify them when a proof is in process)
  • Reactively, by manually routing proofs to various stages in response to the progress and results of the review

It is important to understand that these two ways of routing are not exclusive of each other. As a manager, you can set up proof auto-routing rules, but still intervene with manual routing as you see fit. With either method, the goal is to help ensure that proofs are reviewed as efficiently as possible. Because of this, you should keep tabs on all proofs you are managing even if you have implemented auto-routing for all stages.

Manually Routing Proofs


1. View the details of an approval process by clicking Manage on a proof in your Manage worklist on the Proof Worklist Page.

2. Click the Route link in the active stage. A context menu will appear, allowing you to select the stage you want to route the proof to.

When manually routing proofs, you will have the option to create a Manager's Note and set the due date and time for the destination stage.

Completing a Stage

1. View the details of an approval process by clicking Manage on a proof in your management worklist.

2. Click the Route link in the active stage and select Complete in the context menu. The stage will be completed.

If you complete a stage that has a "Move to next step on completion" auto-routing rule, the next stage will become active immediately.

Adding and Removing Reviewers from Stages

Note: Reviewers can be assigned by the manager to any stage that has not yet been completed. A stage has already been completed cannot have reviewers added to it unless the stage is first made active.

1. Click the Edit Reviewers link below the list of assigned reviewers or producers in a stage (or the Edit Users link on the Production Stage).

2. A popup list of reviewers (or producers) will appear. To Remove an Assigned User, deselect the checkbox corresponding to the user name and click OK.

If a reviewer has already set a review status, they cannot be removed.

3. To Add a User, click the Add New Reviewer link (for the Approval Stage) or the Add New Staff link (for the Production Stage). A popup list of users will appear. Browse to and select a user to add to the stage.

Note: You can also create a new user by clicking on the Create New User link at the bottom of the window.
