Archive Options Window

Select Digital Resource-> CTRL+Click-> Archive

After selecting digital resources and selecting “Archive” in the context menu, the Archive Options window will appear. This window provides you with the ability to select archive-related options and perform the archive operation.

Files/Folders to Archive List

Lists the files and folders selected for archiving. Folders and files may be excluded from the archive operation by deselecting the associated checkbox.

Destination

Opens a destination menu, allowing you to select from recently used destinations or open the Choose Destination window for choosing a destination not listed in the menu.

Media Type Menu

Select the removable media type you wish to segment the archived files and folders by. Choices include standard CD and DVD sizes, custom CD and DVD, Tape Sets, and Online Media locations. All CD and DVD media type options are available in both standard and hybrid formats. See CD & DVD Media Type Options and File System Overhead for more information.

Archive Using

Allows you to select from the Archive Helpers enabled by the administrator for the selected Media Type.

Use fewest media for each selected item

This option is only available if the selected Media Type is a CD or DVD.

 

When selected:

Each Job/folder will be split into the fewest possible disks.

Multiple Jobs/folders within the batch may reside on the same disk.

Individual Jobs/folders will not be split across multiple disks/tapes unless the size is larger than the disk size.

Use fewest media for whole selection

This option is only available if the selected Media Type is a CD or DVD.

 

When selected:

The whole selection will be split into the fewest possible disks.

Multiple Jobs/folders may reside on the same disks.

Individual Jobs/folders will be split across multiple disks if there is space available.

Use separate media for each selected item

This option is only available if the selected Media Type is a CD or DVD.

 

When selected:

Each item will be put on its own disk.

Jobs/folders larger than the disk size will be split.

Under no circumstance will multiple Jobs/folders be on the same disk.

Media Label

The Media Label are used for offline media types and consist of a volume prefix and suffix that is set by the administrator. The administrator can allow users to override the Media Label.

The Media Label chooser allows you to select among recently used labels.

Refresh

Refreshes the files and folders list. You may want to refresh the list if you mount or unmount a volume in which files or folders you want to archive are located.

This button appears if one or more of the files being archived is on a network volume that is not mounted.

Mount Volume

Attempts to mount the volume corresponding to the selected files and folders displayed in the Files/Folders to Archive list.

This button appears if one or more of the files being archived is on a network volume that is not mounted.

Hint

Displays hints if an error occurs. For example, if the selected media label already exists or if the system is unable to locate a file/folder to be archived.

Cancel

Closes the window without archiving files.

Continue

Attempts to archive the selected files and folders according to the options defined above.

Procedures

Archiving files and folders

  1. Select the files and folders to archive in the “File/Folder to Archive” list by enabling the corresponding checkboxes. By default, all files and folders initially selected for archiving will selected for archiving. Deselecting a file or folder will remove it from the checkbox.
  2. If the files and folders appear red in the “File/Folder to Archive” list, this means the volumes on which they reside are not mounted on the local file system. You will be unable to archive the files and folders until these volumes are mounted. To mount a volume, select a file or folder in the list and click Mount Volume .
  3. Select a destination to which you want to archive the files and folders by clicking the “To be selected” link. Select a mounted volume or click “Choose destination...” to open the “Archive - Choose Destination Window”.
  4. Select a Media Type. This will determine how large each archive media folder can be (CD/DVD only). See “CD & DVD Media Type Options and File System Overhead” and “DVD Capacity Discrepancies” for more information on the impact your media type selection will have on data segmentation and the creation of archive media folders.
  5. Select a Media Label for the removable media. The default values assigned by the system will auto-increment to prevent creating removable media folders with duplicate volume names.

Note: If the Media Label is not editable, the Administrator has configured the system to automatically provide a Media Label when archiving files and folders.

  1. If using a Helper to archive, select the Helper from the Archive Using drop-down list. See “Archiving Using Helper Applications” for more information on Helpers.
  2. Select a data segmentation option (CD/DVD only). This will determine how folders will be split across multiple media. See “Data Segmentation Concept Diagram and Explanation” for more information on how data segmentation is performed.

Note: Data segmentation options are not selectable for Tape Set and Online Media Types.

  1. Click Continue. This will create online or removable archive media folders in the location determined above. For CD and DVD, these folders will be sized appropriately for the removable media used in your environment and can thus be easily burned to CD/DVD at any time.
