Configure InterSync for Existing Databases
You can use the Server Configurator to configure InterSync by following the procedure described below. InterSync configuration is only available for Digital Storage Manager only databases or Virtual Ticket + DSM databases.
Configuring InterSync for existing databases
1. On the Windows 2003 Server computer that hosts the Server Components, open the Server Configuration Tool. The Server Configuration Tool is available in the Start-> Programs-> MetaCommunications window on the Windows Server computer on which the MetaCommunications Server components have been installed. When opened, the The Server Configurator Welcome window will appear.
2. Click Next in the Server Configurator until the Select Microsoft SQL Server window appears.
3. Select or type the SQL Server instance you want to use and type the ‘sa’ password in the password field.
4. Click Next until the InterSync Configuration window appears.
5. Select the databases for which you want to configure InterSync. InterSync can only be configured for Virtual Ticket databases using the DSM Extension or for Digital Storage Manager only databases. Click Configure. The InterSync Configuration: Manage Production Folders window will open, displaying any configured Production Folders.
6. To remove a production folder, select it and click Remove.
7. To add a production folder, click Add. This will open the Production Folder Properties window.
Note: Existing folder properties cannot be modified through the Configurator. To modify existing folder properties, please use the MetaCommunications Management Console.
8. Type the full address of the folder location.
If you specify a Production Folder by IP Address, you will be asked whether you want to change the IP address to the Host Name when saving. Whether you allow a Production Folder’s location to be displayed as an IP Address or as a Host Name has no affect on system performance, but some users find it easier to recognize and work with locations using the Host Name convention.
Remember, for best performance, remote Production folders hosted on Windows 2003 Server computers should NOT be added here. They can be monitored by remote instances of InterSync installed separately. For information on installing and configuring additional instances of InterSync, refer to Installing Additional InterSync Instances on Remote File Servers.
9. Select an access protocol and type the port number (if required).
10. Select an account access method and type the user name and password (if required). If you have multiple folders, you may want to use the same user for all of them. In this case you may setup a default user with access to all folders and use this user for accessing. If the folder is local, select “Use service account”.
11. Select filter and scheduling options in the Filter and Schedule tabs.
12. Click OK. The Production Folder Properties window will close and the folder will be added to the Production Folders list in the Add Production Folders window.
13. Repeat this procedure until all desired folders have been added.
14. Click Next when finished. The InterSync Configuration: Manage Archive Folders window will open, displaying any folders that have been added.
15. To remove an archive folder, select the folder and click Remove.
16. To add an archive folder, click Add. This will open the Archive Folder Properties window.
Note: Existing folder properties cannot be modified through the Configurator. To modify existing folder properties, please use the MetaCommunications Management Console.
17. Type the full address of the folder location.
If you specify an Archive Folder by IP Address, you will be asked whether you want to change the IP address to the Host Name when saving. Whether you allow an Archive Folder’s location to be displayed as an IP Address or as a Host Name has no affect on system performance, but some users find it easier to recognize and work with locations using the Host Name convention.
Remember, for best performance, remote Archive folders hosted on Windows 2003 Server computers should NOT be added now. They can be monitored by remote instances of InterSync installed separately. For information on installing and configuring additional instances of InterSync, refer to Installing Additional InterSync Instances on Remote File Servers.
18. Select an account access protocol and port number (if required).
19. Select an access method and type the user name and password (if required). If you have multiple folders, you may want to use the same user for all of them. In this case you may setup a default user with access to all folders and use this user for accessing. If the folder is local, select “Use service account”.
20. Use the Filters tab to set scanning exclusion options.
21. Click OK. The Archive Folder Properties window will close and the folder will be added to the Archive Folders list of the Add Archive Folders window.
22. Repeat this procedure until all desired folders have been added.
Note: Archive Folders can be added at any time through the MetaConsole File System Service Snap-In. Please see the MetaConsole Guide for details.
Note: Unlike Production Folders, Archive Folders are scanned only when they are added to the system. Scanning can be re-initiated for Archive Folders at any time through the File System Service snap-in of the MetaCommunications Management Console (MMC).
23. Click Next when finished. The InterSync Configuration: Classification Engine and Advanced Parameters window will open.
24. Click Configure Digital Resource Associator in the InterSync Configuration: Classification Engine and Advanced Parameters window. This will open the Digital Resources Classification window.
25. Click Modify to configure the Job Classification Role to suit the naming convention used at your company. The Role Details window will open.
26. When the Role has been defined, click OK in the Role Details window and click Save in the Digital Resources Classification window. The Reclassify Digital Resources window will open.
27. Select folders for reclassification and click OK. The Reclassify Digital Resources window will close and the installer will return to the Digital Resources Classification window.
28. Repeat this process for each digital resource classification role you would like to add. When finished, continue to the next step.
29. If you are using a Virtual Ticket system with the DSM Extension, you can proceed to configure Associator rules now by clicking the Associator tab. If you do not wish to configure Associator rules now, close the Classification and Association window and proceed to Step 65.
30. Click the Association Rules tab. The Associator page will appear.
31. Select the file collector for which you would like to set up association rules from the tree on the left side of the Association Rules tab. Any association rules that have previously been defined for the file collector will be displayed on the right side of the Association Rules tab.
32. Click the Modify button in the “Association Rules for File Collector <File Collector Name> of <Folder/Document Type Name>” section. A dialog window will appear, allowing you to add the association rules for the file collector field.
33. In a rule row of the Association Rules dialog, click <role> and select the digital resource role which you would like to be associated with the file collector field.
34. OPTIONAL: To add more roles to the association rule, right click the role name and select “Add Role to List”. A new <role> placeholder will appear, separated by a comma from the previous role.
note: The following three steps contain the instructions for defining the association criterion of the rule. The association criterion is used to determine whether a reference to a particular digital resource (that has been classified as playing one or more of the roles defined for the rule) should be placed in the file collector field of a particular record.
35. To begin specifying the association criterion of the rule, click <Ticket field> and select a database field of the Virtual Ticket folder/document type. The fields available will be those of the parent folder/document type of the file collector field.
36. Click <DR field> and select a database field of the Virtual Ticket Digital Resource folder type. The association criterion is the comparison of the value of this database field will that of the database field selected in the previous step.
37. Click <Operation> and select the comparison operator that will be used when comparing the values of the fields chosen in the previous two steps. The type of the previously selected <Ticket field> determines available comparison operators. For numeric fields they include: is less than (“<“), is greater than (“>”), is equal to (“=”), is not equal to (“<>”), is less than or equal to (“<=”), and is greater than or equal to (“>=”). For character fields they are: is equal to (“=”), not equal to (“<>”), “includes”, and “does not include”. The operations “includes” and “does not include” are used to compare a <DR field> with a <Ticket field> that represents a comma or semicolon separated list.
38. OPTIONAL: To add more conditions to a rule, right click an existing condition and select an action from the popup window. For the current rule to be true, all conditions included in the rule must be satisfied.
39. OPTIONAL: To add more association rules, right click a rule row and select an “Insert rule before” or “Insert rule after” command, then repeat steps 1-3. Rules are analyzed in a sequence they have been specified, one after another. As a rule succeeds, more file/folders are added to the resulting set of digital resources to be associated with the file collector.
40. OPTIONAL: In the “File Collector Association Options” section, specify the way in which the Associator should place the digital resource references it generates in the file collector field:
Append generated references to file collector contents - the digital resource references generated by the associator will be added to the set of references already in the file collector.
Replace file collector contents with generated references - the contents of the file collector will be modified in the following manner: references to digital resources located within the scope of the Associator will be replaced with the references generated by the Associator (references not in accordance with the association rules for the file collector will be removed).
41. When finished, Close the Digital Resource Classification window. This will return you to the InterSync Server Configuration window.
42. Click Next until the Server Configuration Finish window appears.
43. Click Finish. The Server Configurator will close. Click Finish.
