Tasks (labor functions, material items, and miscellaneous items) are defined within the Tasks & Materials administration page. This page allows you to create new tasks by entering a task code and description, the minimum billable units, the incremental units, the unit cost, the task type, and the task units. In addition, you may assign individual tasks to specific department/cost centers from which the labor activity, material item, or miscellaneous item originate.
Creating a new task or material
1. Select Tasks and Materials under the Administration tab. This will open the Tasks and Materials page.
2. Click New Task. This will open the New Task page.
3. Type a Code for the new Task in the Code field. Task codes are alphanumeric and can include up to 16 characters. Each task code must be unique amongst both task codes and ordered items.
Note: A task code cannot be added if it has the same code as either another task or an ordered item. An ordered item cannot be added if it has the same code as another ordered item or another task.
4. Type a descriptive name for the Task in the Name field. Task Names are alphanumeric and can include up to 80 characters.
5. Type the incremental unit in the Incr Unit field.
6. Type the minimum billable unit in the Min Billable field. The minimum billable unit is the minimum amount of the task that can be billed to the job during the invoicing process - it is not the minimum amount of the task that can be charged to the job by an employee.
7. Type the cost per unit in the Unit Cost field. The unit cost is the cost of the task to your company - it is not the price that you will be charging your customers.
8. Type the name of the unit in the Unit Name field. Labor tasks that are defined in terms of hours or minutes and will automatically take on "min" or "hrs" as their unit name. Material and miscellaneous tasks require a unit name to be entered.
9. Select a task type from the Task Type drop down menu.
10. Select a task unit from the Task Units drop down menu. Labor tasks are defined in terms of hours or minutes and will automatically take on "min" or "hrs" as their unit name. Material and miscellaneous tasks require a unit name to be entered.
11. Click Add ( ). This will save the new task to the database clear the New Task page for defining additional tasks.
12. Repeat this process for each additional task you would like to define in the Job Manager system.
With the tasks defined, the next step to setting up your tasks and materials is to assign them to specific department/cost centers.
