Digital resources can be added in Virtual Ticket Developer in a number of ways, including dragging and dropping them onto a form in the Browser window, dragging and dropping them onto the File Board window, and creating a new digital resource folder type record. The method that you choose will depend on the types of files that are being added and whether the files need to be related to other elements (i.e. jobs, customers, etc.).
Dragging and dropping onto a form in the Browser window
1. If the Browser window is not open (it appears by default whenever Virtual Ticket Developer is started), select New Browser from the File menu to open a new Browser window or press Ctrl-N.
2. Using the instructions provided above, look up an existing folder/document record and click Edit ( ). For details on these procedures, please refer to the instructions provided in the “Browser Window Basics” section of the “Folders, Documents, and Forms” chapter of this guide.
Note: Digital resources may also be dragged and dropped onto a folder/document record when it is initially being created in the Browser window.
3. Drag and drop the appropriate folders and files from their current location onto the file collector field on the form. A dialog box will appear, allowing you to Lookup or Add the digital resources, or Cancel the operation.
4. Select ADD to add the digital resources to the folder/document record. If you know that the digital resources exist in the system, select Lookup to instruct Virtual Ticket Developer to look up the digital resources from within the database. When adding the digital resource, an Add Options dialog box will appear, allowing you to specify the parameters Virtual Ticket Developer will use in adding the digital resource.
Note: Digital resources may also be added by selecting Add from File System using the File Tool ( ) button in the File Collector.
5. Specify any additional parameters, and click OK ( ). Additional parameters for adding files include:
Files Already In Database - This option allows you to update the digital resource information if the folder or file already exists in the Virtual Ticket Developer database. You may also instruct the system to skip the update process.
Linked Files - This option allows you to include or skip the addition of any linked files that have been placed within the file that is being added.
On Error - This option allows you to instruct Virtual Ticket Developer how to notify you if there is an error while adding the digital resource to the database.
6. Click OK ( ) to save the digital resources corresponding to the files to the database.
At this point, the digital resources will have been added to both the folder/document record and as individual records in the digital resources folder. A reference is also created automatically and displayed as a listing in the properties for the digital resource.
Dragging and dropping onto the File Board
7. Select File Board from the Tools menu, or press Command-I (Mac)/Ctrl-I (PC). This will open the File Board window if it is not open, or bring it to the front if it is already open.
8. Drag and drop the appropriate folders and files from their current location onto the File Board window. A dialog box will appear, allowing you to Lookup or Add the digital resources, or Cancel the operation.
9. Select ADD to add the digital resources to database. If you know that the digital resources exist in the system, select Lookup to instruct Virtual Ticket Developer to look up the digital resources from within the database. When adding the digital resource, an Add Options dialog box will appear, allowing you to specify the parameters Virtual Ticket Developer will use in adding the digital resource.
Note: Digital resources may also be added by selecting Add Files using the File Tool ( ) button.
10. Select either Add Files Only or Add Folders and Files, specify any additional parameters, and click OK ( ). If Add Files Only is selected, Virtual Ticket Developer will display the individual file at the root level of the File Board window. If Add Folders and Files is selected, Virtual Ticket Developer will display the file folder at the root level with the individual file displayed in the sub-level directory of the File Board window. Additional parameters for adding files include:
Files Already In Database - This option allows you to update the digital resource information if the folder or file already exists in the Virtual Ticket Developer database. You may also instruct the system to skip the update process.
Linked Files - This option allows you to include or skip the addition of any linked files that have been placed within the file that is being added.

At this point, the digital resources that appear in the File Board window have been added to the system as individual records in the digital resources folder.
Note: Adding digital resources through the File Board does not automatically associate them with other elements in the system (i.e. jobs, customers, etc.). Digital resources may be associated by dragging and dropping them from the File Board directly onto a folder/document form in the Browser window.
Using the Digital Resources folder of the Browser window
11. If the Browser window is not open (it appears by default whenever Virtual Ticket Developer is started), select New Browser from the File menu to open a new Browser window or press Command-N (Mac)/Ctrl-N (PC).
12. Select the Digital Resources folder type from the File Cabinet popup in the upper left corner of the Browser window. The folder types listed correspond to the folder types to which you have access and that have been defined by the system administrator.
13. Select New:Digital Resources:[Form Name]/[Template Name] to select the form or template you want to use in creating the new digital resource. A Properties dialog window will appear, allowing you to specify the folder or file to add.
14. Drag and drop the folder or file into the thumbnail field. Virtual Ticket Developer will automatically generate a thumbnail image of the digital resource and complete additional information about it, such as file name, document type, file size, creator, file type, created date/time, modified date/time, thumbnailed date/time, and method used for thumbnailing.
15. OPTIONAL: Add any keywords you would like to associate with the digital resource by clicking Add Keyword ( ) in the Keywords area of the Properties window. A keyword dialog window will open (see capture below). For each keyword you would like to add, type the new keyword in the Keyword field, and click Add (
). The keyword will be listed in the Keyword area of the Properties window. After adding the keyword(s), click Done (
) to return to the Properties window.
16. Click OK ( ) in the Properties window. The Properties window will close and the new digital resource will be displayed in the Browser window. If a form was selected in Step 3, that form will be used to display the digital resource. If a template was selected, the digital resource will be displayed in the form on which the template was based.
17. In the Browser window, enter the remaining information for the digital resource that you want to create and click Add ( ). The amount and type of information needed will depend on the fields included on the form you are using.
