Attaching Databases to the MetaData Service
Each database whose digital resource records you would like the MetaData Service to update should be “attached” to the service using the Database Properties dialog window, available from the MetaCommunications console. Attaching a database involves specifying the location of the computer running the Microsoft SQL Server database software, the name of the database, and the user name and password that the service should use to log in to the SQL Server in order to access the database.
Note: This and subsequent instructions in this chapter assume that the MetaCommunications console has already been opened and that the MetaData Service snap-in is present.
Attaching a database to the MetaData Service
- Expand the MetaCommunications Services:MetaData Service sub-tree in the tree portion of the MetaCommunications console, right-click “Databases” and select Attach Database. This will open a new Database Properties dialog window.
Note: The Database Properties dialog window may also be opened by expanding the MetaData Service sub-tree, clicking “Databases” and clicking the Attach Database ( ) button.
- Type the location of the computer running Microsoft SQL Server in the “SQL Server location” field of the window, or leave the field blank if SQL Server is running on the same computer as the MetaData Service. The location may be entered as a hostname (e.g. Host_Computer), or as an IP address. You may also click
to browse for the computer.
- Type the name of the database you would like to attach in the “Database name” field.
- Type the user name and password of the SQL Server login that the MetaData Service should use when logging in into SQL Server in the corresponding fields.
Note: The Excluded checkbox indicates whether or not the database should be updated by the MetaData Service. When the checkbox is ‘checked’, the digital resource records in the database will not be updated by the MetaData Service. When the checkbox is not checked, digital resource records in the database will be updated by the MetaData Service.
- Optional: Click the Test Connection button to test whether the MetaData Service is able to connect to the database using the SQL Server location, database name, user name and password you have provided. The service will display an alert message indicating whether the test was successful. If the database connection test fails, repeat steps 2-5.
- OPTIONAL: If you would like to modify the options governing how the MetaData Service gets its list of Folders and how those Folders are accessed, continue to “Managing Folders” on page 46.
- Optional: If you would like to modify the default MetaData Service options, you may do so by clicking the “Options” folder tab. Refer to the “Specifying Options for a Database” section of this chapter for detailed instructions.
- Click OK. This will attach the database to the MetaData Service and display the database host and name in the “Databases” listing.
Note: When you click OK, the MetaData Service automatically performs the database connection test described in step 5.
At this point, the database(s) whose digital resources you would like the MetaData Service to update have been attached to the service, and you may complete the configuration of the MetaData Service for each database by configuring the Folder and Service options for each attached database.
Setting Folder Configuration Options for an Attached Database
- Expand the MetaCommunications Services:MetaData Service sub-tree in the tree portion of the MetaCommunications console, right-click an attached database and select Properties from the context menu. The Database Properties window for the selected database will open
Note: The Database Properties dialog window may also be opened by expanding the MetaData Service sub-tree, clicking “Databases” and clicking the Attach Database ( ) button.
Configure Manually - Adds all folders monitored by the local File System Service. When this option is selected, the MetaData Service can use unique accounts to access individual folders. Additionally, classification and metadata retrieval can be turned on and off for each folder. See “Setting folder account access options” on page 47 and “Disabling MetaData Service Features” on page 49 for more information.
Take folders set from the local File System Service - Automatically adds all folders monitored by the File System Service running on the local machine. If any folders for the current database are are monitored by remote File System Services, they will not be automatically added. When this option is selected, the MetaData Service will use the account specified in the File System Service to access the folder (See “Setting File System Service parameters” on page 8 for more information). Additionally, Classification can be turned on and off for each folder, but metadata retrieval is always enabled.
Take folders set from all File System Services - Automatically adds all folders monitored by local and remote File System Services for the current database. When this option is selected, the MetaData Service will use the account specified in the File System Service to access the folder (See “Setting File System Service parameters” on page 8 for more information). Additionally, Classification can be turned on and off for each folder, but metadata retrieval is always enabled.
Refresh the Folder Set Period - Updates the list of folders every number of seconds defined. This option is only available if you are not configuring folders manually.
- Optional: If you would like to modify the default MetaData Service options, you may do so by clicking the “Options” folder tab. Refer to “Specifying Options for a Database” on page 44 of this chapter for detailed instructions.
- Click OK. This will attach the database to the MetaData Service and display the database host and name in the “Databases” listing.
- Repeat steps 1-5 for each database for which you would like to specify folder configuration options used by the MetaData Service.
At this point, you have specified the Folder Configuration options for the attached database.
