Importing Customers Into Accounting Plus
To complete the transfer of customer information from Job Manager to your Accounting Plus system, you must start the Accounting Plus application and import the formatted text file exported from Job Manager. Files may be imported into Accounting Plus via the Import File wizard, which can be accessed from the File menu. For more information on the import mechanism and procedures used by Accounting Plus, please consult your Accounting Plus documentation.
Importing customer information into Accounting Plus
- Back up your Accounting Plus database. For information on backing up Accounting Plus databases, please refer to your Accounting Plus documentation.
- From the File menu, choose Import Data:Cards:Customer Cards. This will open the Import File window with an embedded Import Customers section.
Tab Delimited from the "Import File Format" pop-up,
Header Record from the "First record is" pop-up, and
Update Existing Record from the "Duplicate records" pop-up.
NOTE: For an explanation of the above format options, please consult your Accounting Plus documentation.
- Click CONTINUE. This will open a standard Open dialog, allowing you to specify the file you would like to import.
- Locate the formatted text file containing the Job Manager customer information you would like to import and click OPEN. This will open an Import Data window, allowing you to specify the mapping of the file fields to Accounting Plus database fields.
- Click MATCH ALL. This will map each import field listed on the left side of the Import Data window to a corresponding Accounting Plus field and display the mapping in the listing on the right side of the window.
- Click IMPORT. This will import the data from the file you selected in step 5 into the Accounting Plus system.
NOTE: The Customer Name and Customer Code fields of Job Manager customers are mapped to the Accounting Plus Customer Name and Card ID fields, respectively, in the formatted text file exported from Job Manager. Accounting Plus uses the Customer Name field as the identifier of customer records for import/export purposes, but requires that the Card ID be a unique value. If, upon import, Accounting Plus encounters a Card ID matching an existing customer card and a Customer Name different from the one on the card, it creates a new customer with a "*None" Card ID. This means that if a Job Manager Customer Name changes, a corresponding name change should be performed within Accounting Plus before customer information is imported to avoid creating duplicate customer records. If a customer with a "*None" Card ID is created in your Accounting Plus database after import, you should delete that customer, change the Customer Name of the record it duplicated to match the Job Manager Customer Name, and re-import the file containing the Job Manager customer data into Accounting Plus.
