Managing Folders

In order for the MetaData Service to update a digital resource record, the volume on which the digital resource record is located must be marked ‘active’ in the database’s list of volumes, and the MetaData Service must be able to access the volume.

Because obtaining thumbnails and extended previews of graphics files is a time and memory-intensive process (and takes up significant network bandwidth when done remotely), the MetaData Service should be deactivated (marked ‘inactive’) for the volumes not located on the computer on which the service is installed if possible. These ‘inactive’ volumes should be updated by other MetaData Services (ideally, all of the ‘active’ volumes of a MetaData Service should be physically located on the computer on which the service is installed).

Folders are never directly added to the MetaData Service, as they are added to the File System Service. Instead, the list of folders is taken from either the Folders that are scanned by the local File System Service or by all File System Services attached to the database.

Setting folder account access options

Note: Folder account access options may only be set for folders if you have elected to configure folders manually in the Folder Configuration tab of the database properties window. See “Setting Folder Configuration Options for an Attached Database” for more information.

1. Use the navigation pane to select the Folders branch for a database attached to the MetaData Service Snap-in.

2. Right click a folder in the display pane. The Folder Properties window will appear.

3. Select an account access method in the “Account to access this folder” group. The following options are available:

Use service logon account - uses the default service logon account to access the folders.

Use account information from File System Service - uses the same logon account as used by the File System Service. See “Setting File System Service parameters” on page 8 for more information.

Use default account for this service - uses the logon account defined for the MetaData Service in the database properties. See “Setting MetaData Service parameters” for more information.

Use this account - allows you to use any other account by typing the user name and password in the appropriate fields.

4. Click OK when done. The MetaData Service will use the specified method to access the folder.

5. Expand the name of the appropriate database in the MetaCommunications Services:MetaData Service:Databases sub-tree of the MetaCommunications console, and click “Folders”. The list of the Production folders attached to the database will be displayed on the console.

6. Right-click the appropriate folder and select Properties. The Properties window for the folder will open.

7. Use the The Enable classification of Digital Resources check box to enable or disable classification and association of digital resources corresponding to files in the folder. The change you have made will be displayed in the “Active” column of the “Volumes” listing.
