The appearance of Approval Manager and the email notifications it sends can be customized to reflect your company's unique brand and identity.
Customization options for the Collaborative User appearance include:
Changing the company logo - Valid formats for the company logo file are .gif, .jpg, .png. Logo files must use the RGB palette and be sized to actual pixel dimensions. The company logo file will be displayed in the upper left corner of every page. The header of each page is automatically resized to accommodate the height of the logo file. For additional information, please see Customizing the company logo.
Assigning a URL to the company logo - When assigned, users clicking on the company logo will be taken to the destination address entered in this field. For additional information, please see Assigning a logo URL.
Assigning a company name- The text that in this field will also appear in the browser window title bar. This is often used for the displaying the company name. For additional information, please see Assigning a Company Name.
Changing the default text color - The default text color can be changed by entering the color value in hex notation or by typing a supported color name in this field. For additional information, please see Changing the user text color.
Changing the default link color - Hyperlink colors can be changed by entering the color value in hex notation (eg: "#CCCCCC" for Gray) or by typing a supported color name in this field (eg: "Gray"). For additional information on supported color names, see the Supported Color Names drop down. For additional information on changing the default link color, please see Changing the user link color.
Inserting a background image - Background images appear in the header section only and are repeated horizontally across the width of the page. For additional information on inserting a background image, please see Assigning a background image.
Changing the background color - The background color can be changed by entering the color value in hex notation or by typing a supported color name in this field. For additional information on assigning a background color, please see Changing the background color.
Placing a welcome message - Static text for display on all pages can be entered here. Text can be entered in plaintext, or as HTML tagged text for richer display. This text will appear on all pages for Collaborative Users. For additional information on adding a welcome message, please see Assigning a welcome message.
Procedures
Customizing the Company Logo
Select Collaborative Appearance in the Administration tab. This will open the Collaborative Appearance page.
Click Choose File ( ) next to the Company Logo label. This will open a file system browser window.
Browse to and select a file to use as the Collaborative Appearance Logo. Logo files should be of either .gif, .jpg, or .png format and sized according to pixel dimensions.
Note: The size of the default logo is 73x38 pixels. If you want to keep the height of the header identical, use a custom logo file with the same dimensions. The header area in which the logo file is displayed will dynamically adjust its vertical height up or down based on the vertical height (in pixels) of your logo file.
Click Preview ( ). The selected file will be displayed in the preview area.
When you Apply a logo file, the file is copied to the following directory on your web server:
\inetpub\<portal virtual directory>\data_storage\<portal virtual directory name>\appearance\editor\logo_image\
Review the appearance in the preview area of the page.
If satisfied with the appearance, continue to the next step. Or, if you preferthe original appearance, click Revert ( ). The appearance will revert to the most recently saved collaborative user appearance settings.
Click Save ( ) when finished. The custom company logo will now be used in the Collaborative User appearance.
Assigning a Logo URL
Select Collaborative Appearance in the Administration tab. This will open the Collaborative Appearance page.
Type a valid URL in the Logo URL field. When a collaborative user clicks the Logo, the resource at the Logo URL will open in a new browser window. Remember, since Collaborative Users will be accessing Approval Manager from outside the firewall, the Logo URL should be accessible to users outside the corporate firewall as well.
Click Preview ( ). The URL will be applied to the logo displayed in the preview area.
Review and test the URL by clicking the Logo displayed in the Header Preview pane of the Collaborative Appearance page.
If satisfied with the Logo URL, continue to the next step. Or, if you preferthe original URL, click Revert ( ). The appearance will revert to the most recently saved collaborative appearance settings.
Click Save ( ) when finished. Collaborative Users who click the logo will now have the destination resource open in a new page of their web browser.
Assigning a Company Name
Select Collaborative Appearance in the Administration tab. This will open the Collaborative Appearance page.
Type the text you want to appear in the title bar of collaborative users'browser windows (not shown in capture below) and in the logo image file ToolTip in the Company Name field.
Click Preview ( ) and review the appearance in the preview area of the page.
If satisfied with the appearance, continue to the next step. Or, if you preferthe original appearance, click Revert ( ). The appearance will revert to the most recently saved collaborative user appearance settings.
Click Save ( ) when finished. Collaborative Users who click the logo will now have the destination resource open in a new page of their web browser.
Changing the User Text Color
Select Collaborative Appearance in the Administration tab. This will open the Collaborative Appearance page.
Type a color value in the User Text Color field. Color values can be specified by using either standard hexadecimal notation (eg: "#343434") or by using a standard color name (eg: "DarkGoldenrod").
Note: For a complete list of standard color names supported by Approval Manager, refer to the Supported Color Names drop-down list below.
Click Preview ( ). The user text in the preview area will be displayed in the specified color.
Review the color selection in the preview area of the Collaborative Appearance page.
If satisfied with the user text color, continue to the next step. Or, if youprefer the previous user text color, click Revert ( ). The user text color appearance will revert to the most recently saved collaborative appearance settings.
Click Save ( ) when finished. Collaborative Users who log into the system will now see all user text in the color defined in the User Text Color field.
Note: The default User Text Color is #CCCCCC. This might be useful if you want to return to the default User Text appearance.
Changing the User Link Color
Select Collaborative Appearance in the Administration tab. This will open the Collaborative Appearance page.
Type a color value in the User Link Color field. Color values can be specified by using either standard hexadecimal notation (eg: "#343434") or by using a standard color name (eg: "DarkGoldenrod").
Note: For a complete list of standard color names supported by Approval Manager, refer to the Supported Color Names drop-down list below.
Click Preview ( ). The user links in the preview area will be displayed in the specified color.
Review the color selection in the preview area of the Collaborative Appearance page.
If satisfied with the user link color, continue to the next step. Or, if youprefer the previous user link color, click Revert ( ). The user link color appearance will revert to the most recently saved collaborative appearance settings.
Click Save ( ) when finished. Collaborative Users who log into the system will now see all user links in the color defined in the User Link Color field.
Note: The default User Link Color is #FFFFFF. This might be useful if you want to return to the default User Link appearance.
Assigning a Background Image
Select Collaborative Appearance in the Administration tab. This will open the Collaborative Appearance page.
Click Choose File ( ) next to the Background Image label. This will open a file system browser window.
Browse to and select a file to use as the Background Image. Files used as background images should be of either .gif, .jpg, or .png format and sized according to pixel dimensions.
Note: Background images repeat horizontally across the entire width of the header. Background images that have a vertical dimension larger than the dimension of the header region will be truncated (ie, the header will not expand to fit the size of the background image).
Click Preview ( ). The selected file will be displayed in the preview area as the background image.
When you Apply a file as a background image, the file is copied to the following directory on your web server:

Review the appearance in the preview area of the page.

Click Save ( ) when finished. The custom company logo will now be used in the Collaborative User appearance.
Note: By default, the Collaborative User appearance does not use a background image.
Changing the Background Color
Select Collaborative Appearance in the Administration tab. This will open the Collaborative Appearance page.
Type a color value in the Background Color field. Color values can be specified by using either standard hexadecimal notation (eg: "#343434") or by using a standard color name (eg: "DarkGoldenrod").
Note: For a complete list of standard color names supported by Approval Manager, refer to the Supported Color Names drop-down list below.
Click Preview ( ). The selected background color will be applied for review in the preview area of the page.
Note: If you have assigned a background image and its vertical height is as large as or larger than the vertical height of the header, the background color will not be visible (unless the image file used for the background image contains transparent areas).
Review the color selection in the preview area of the Collaborative Appearance page.
If satisfied with the background color, continue to the next step. Or, if youprefer the previous background color, click Revert ( ). The user link color appearance will revert to the most recently saved collaborative appearance settings.
Click Save ( ) when finished. Collaborative Users who log into the system will now see the background color defined in the Background Color field.
Note: The default Background Color is #888888. This might be useful if you want to return to the default Background Color appearance.
Assigning a Welcome Message
Select Collaborative Appearance in the Administration tab. This will open the Collaborative Appearance page.
Type a message to be displayed beneath the header on all Approval Manager pages when viewed by Collaborative Users.
If desired, you can use HTML formatting to modify the presentation of the message. For example, typing "Welcome to the <b>Proof Approval Portal.</b>" will be displayed as, "Welcome to the Proof ApprovalPortal." (notice the bold text)
Click Preview ( ). The text will be displayed beneath the header in the preview area.
Review the appearance in the preview area of the page.
If satisfied with the appearance, continue to the next step. Or, if you preferthe original appearance, click Revert ( ). The appearance will revert to the most recently saved collaborative user appearance settings.
Click Save ( ) when finished. The custom text will now be used in the Collaborative User appearance.
